When you use Belong Events (also referred to as we and us), you are entrusting us with your personal data. We take the protection of your personal information seriously and will only collect it from you to the extent necessary to use our services. We process personal data in accordance with the EU General Data Protection Regulation (GDPR, EU 2016/679), the instructions of the Estonian Data Protection Inspectorate and the laws of the Republic of Estonia. Belong Events does not process special categories of personal data as defined in the GDPR.

What personal data do we collect?
We collect personal data to provide you with our services in the following two ways:
1 Data you provide to us yourself
When you use the Belong Events service, you will provide us with various personal information about yourself: such as your email address, telephone number, contact name, company name, billing information, etc.
2 Data we receive from you based on your use of our services
In addition, we collect information about which of our services you use and how you use them, for example, when you visit our website, we record information about this. We collect the following information about your use of our services:
- Website visit address, IP address, time, browser information, etc.
- Logged-in user activities on the platform
Why do we collect and process personal data?
The processing of your personal data is necessary for the use of our services, as without your personal data it is not possible to provide you with the service you have requested and to fulfil the obligations associated with the service. We use the collected data to provide, manage, improve and develop new services.
We collect and process personal data for the following purposes and on the following legal bases:
- To provide the Belong Events service, to perform a contractual obligation with you;
- In order to send you the Belong Events newsletter, we will ask for your consent, which can always be withdrawn by using the “Remove me from newsletter” link at the bottom of the newsletter.
We will not use your personal information for any other purposes than those set out in this Privacy Notice.
To whom is the data transferred?
We will treat the personal data we process as confidential and will only disclose it to other persons or companies (or recipients) to the extent necessary to provide the service.
We do not share personal information with companies, organisations and individuals outside of our business, except in the following circumstances:
- Where we use external service providers to provide certain services to us, such as accommodation providers, customer management software providers, marketing service providers and IT support service providers, in providing such services, these external service providers may have access to and/or process your personal data. We require these external service providers to implement and maintain security measures to ensure the integrity and security of your personal data.
- Without the consent of the person concerned, personal data may be transferred to an authority or a person who has a direct legal right to do so in accordance with data protection legislation.
- In the event of a merger or acquisition involving Belong Events, personal data may be transferred to third parties related to the merger or acquisition.
Transfers of personal data outside the European Union and the EEA
We process customer data within the European Union/European Economic Area.
If Belong Events needs to process personal data outside the borders of the European Union/European Economic Area, we will only do so if there is a legal basis for doing so, e.g. to comply with a legal obligation or with the customer’s consent.
We will also implement appropriate safeguards:
- there is a standard data protection contract,
- the receiver has approved codes of practice, certificates, etc;
- there is an adequate level of data protection in the country where the recipient is located, in accordance with the European Commission Decision;
- the recipient is certified under the US – EU Privacy Framework.
Data security
We use appropriate organisational and technological measures to protect your data against unauthorised access, alteration, disclosure or breach.
To ensure data security:
- We treat all personal data as confidential. Our employees have signed a confidentiality agreement and have received the necessary training.
- We encrypt services where possible using SSL or other methods with a similar level of security.
- We restrict access to personal information by granting access only to those employees and contractors who need the information in order to process it, who are subject to strict contractual confidentiality obligations, and who may be sanctioned or terminated if they fail to comply with those obligations.
- We keep personal data in digital format rather than on paper to ensure faster and more secure access control.
- The repository of personal data is protected by the necessary IT technical and organisational safeguards. Information security standards are in place and appropriate contracts are in place with service providers.
What rights do you have and how can you exercise your rights?
In line with the General Data Protection Regulation, you have the right to:
- access to your personal data, that is, to ask us what data we process about you and to obtain an extract of that data.
- improve your data.
- request the deletion of your data. If we are processing your data to comply with a legal obligation, we will not be able to erase it before the legal deadline.
- Request restriction of the processing of your personal data.
- Request the transfer of your personal data to another controller, where technologically feasible.
- Always withdraw consent to the processing of personal data. To withdraw your consent, either use the unsubscribe link or write to us at the email address provided in the contact details.
We do not profile you on the basis of personal data or make any automated decisions.
We have a legal obligation to make sure that personal data only reaches the persons about whom it is collected. We must uniquely identify you. In order to exercise your rights and submit your request, please contact us as set out in the section (“Contact us”).
Please note that you can only request the deletion of your personal data, the restriction of processing, etc., if we are not processing your data to comply with a legal contractual obligation.
If you request restriction, suspension or deletion of the processing of your personal data, this may result in a partial or total suspension of the services we provide to you.
In the event of a complaint, you have the right to lodge a complaint with the competent data protection authority.
How long do we keep your personal data?
Your personal data will be kept for as long as necessary to provide you with the services you have requested. If the personal data has not been used for 5 consecutive years, we will delete your personal data or make your personal data anonymous, unless legal retention requirements apply.
Data collected in an anonymised form is kept indefinitely.
